As part of our continued growth, the opportunity has arisen for the Process Performance Administrator to join Compliance team based in our Head Office, Leicester. The primary focus of Bellrock’s Compliance (Planned Preventative Maintenance) Team is the management of PPM on behalf of their client base.

The team’s role is to:

  • Understand the clients estate and PPM requirements
  • Ensure PPM visits are carried out in line with PPM schedule
  • Ensure statutory compliance per client and escalate risks
  • Provide information and data to the clients by accurate status reporting
  • Chase and manage poorly performing supply chain
  • Issue annual PPM schedule to clients supply chain in line with Bellrock process
  • Maintain client audit files for all PPM schedule changes
  • Maintain audit trail on for PPM schedules.
  • Audit certification for accuracy and quality

Key Accountabilities:

  • To understand in detail the PPM requirements of each client allocated to your role and be accountable for the delivery of their specific PPM requirements
    • Liaising with the client/account manager to ensure all data and process changes are captured
    • Ensure the PPM schedule is accurate and complete on the Concerto system, via use of Change Control request process
  • To deliver in accordance with either Bellrock or client KPIs/SLAs  in terms of compliance (both legislative and manufacturer), visit completion and financial parameters
  • Raise Purchase Order and ensure Supplier have correct information
  • Update the system to reflected weekly house lists
  • Certificate Auditing  and check failed certificates and ensure quotes are raised for remedial works
  • To respond quickly and efficiently to urgent client priorities; attend review meetings and take ownership of any other reporting provided to/required by the client
  • To be pro-active in the day to day management of contractors
    • Managing non-compliance (Red priorities) issues by engaging with the contractor to rectify the issue (paperwork or attendance) swiftly
    • Engaging with the contractor to avoid non-compliance (Amber priorities)
  • To escalate significant issues in terms of backlog and non-compliance
  • To check certification meets both the client’s and current legal standards
  • To ensure remedial works are completed and compliance is re-established

Experience Required:


  • Planned Maintenance Experience
  • Adherence to processes and procedures
  • Understanding of FMIC systems and escalation processes


  • Technical understanding
  • Awareness of Procurement and Supply chain processes

In return Bellrock are offering a competitive salary Circa of £18,500.00 per year. Working hours are Monday – Friday based on 37.5 hours per week and 25 days holiday per year + bank holidays.
